Features

Uppsala University offers AIMday organisers introductory training, continuous support and a practical toolbox. To facilitate planning, there is a manual that covers everything you need for your AIMday event.

When it’s time to carry out your event(s), a dedicated website is created for each event, and you receive access to administrative tools such as a registration system, scheduling software, and features for retrieving and downloading the different programmes.

The manual

How do you plan and execute an AIMday? Everything you need to know is in the manual, which is designed as a practical guide for both big and small details, from start to finish. Here, we describe the activities in each step of the process in detail while also sharing tips on everything from marketing to networking. The manual also includes the graphic guidelines developed for AIMday. You will gain access to the manual as soon as we have a collaboration agreement in place.

The trademark

AIMday is a registered trademark owned by Uppsala University and has established itself over the years as a strong platform for collaboration between academia and society, both in Sweden and internationally. Our core values – simplicity, closeness and openness – are fundamental and something we always strive to uphold.

Through AIMday, the university environment is opened up to the wider community, and we create a platform for informal and candid conversations around current challenges. The website www.aimday.se is the digital hub for all AIMday events, regardless of where they take place. Each event has its own unique page on the platform, created by Uppsala University – the website's host.

The organiser is responsible for the content on their event page, and once it's live, users can easily access a set of smart administrative tools, specifically developed for AIMday. These digital tools are designed to support the entire AIMday process and streamline the planning, execution and follow-up of the event.

Registration tool

Each unique event page on aimday.se features a built-in tool that makes registration easy for both external organisations and researchers. Below is a brief description of its features:

Conference System

The conference system manages all important settings for the event, including the date of the event as well as the opening and closing dates for registration for both external organisations and researchers. The system gathers all registrations in one place and offers functionality to export the following information to Excel:

  • All organisations that have registered
  • Representatives from each organisation
  • Challenges from organisations
  • Which researchers have registered, which challenges they have expressed interest in, and how they have prioritised the challenges

AIMday scheduling tool

The AIMday scheduler is a powerful and almost indispensable tool that makes it easy to create a well-structured programme for the event. With the scheduler, you can generate proposals for an optimal programme based on the incoming challenges, as well as the researchers' priorities and availability.

There are no limits to the number of programme proposals – you can create multiple options and compare different layouts. This allows you to fine-tune and adjust the programme until the best setup for the day is in place.

Downloads and printouts

This is another feature that saves valuable time. Once the day's programme is finalised, you can easily download it in several different PDF formats for printing or attach it to email communications. You can also add names or numbers of group rooms and specify the times for each workshop, making it more convenient for both organisers and participants during AIMday.

Training

To give you the best possible start in your AIMday process, we have developed a training programme. The training takes up to one day to complete but can be split into multiple sessions if needed, according to agreement. It is led by experts with deep knowledge and practical experience of AIMday.

During the training, we go through the entire concept – its purpose, goals, and all steps in the process. We also introduce the administrative tools that are available to support implementation. Additionally, we share valuable practical tips and take time to answer your questions and concerns.

The training can be conducted online, at your university, or at Uppsala University, depending on what suits you best. Any travel and accommodation costs related to the training will be covered by your institution.

Support

Even after the training is completed, situations may arise where you need support and guidance. You can rest assured that we are here for you – whether it’s to bounce a question or guide you through the process. No question is too small!
